SF Group are currently looking for an Administrator for a company who are based in Wolverhampton.

This is a temporary to permanent position, applicants must have previous office administration experience and someone with good computer skills is very much desirable.

  • Strong communication skills
  • PC Literate - Outlook, Word, Excel, Bespoke software packages, customer/supplier extranet systems, Drop Box, Google Documents etc.
  • Excellent organisation skills
  • Logical, methodical and with strong attention to detail
  • Ability to work under pressure and to tight deadlines
  • Ability to work as part of a team and to work under own initiative

Main Duties:

  • Creation and maintenance of Supplier database
  • Creation and maintenance of Product database, including New products and Discontinued products
  • To create Purchase Orders from recommendations provided by bespoke system (weekly routine) or Buyer (as required) to ensure that we have the right stock at the right time
  • To creation and maintenance of product labelling and carton marking information including any bespoke customer requirements (direct containers)
  • To updating supplier cost prices in the system as instructed by the Buyer and producing Cost Price Spreadsheet by supplier for them to check and confirm
  • To tracking of Purchase Order status to ensure that orders and lead times have been acknowledged and confirmed by suppliers, chase for regular updates and put these updates on our system (so that our stock reports and sales team are updated)
  • Ensuring that signed Pro Forma Invoices are received from suppliers and following the purchase order journey through to completion
  • Dealing with any communication from suppliers appropriately and promptly, obtaining authorisation from Buyer for changes where required from senior management (such as lead times, quantities etc.)
  • Liaising with our shipping agents overseas and in the UK to ensure that shipments are on schedule and updating the system with any delays
  • Liaising with our third party warehouse to obtain delivery bookings for containers, ensuring that good inwards documentation is received and checked promptly and stock is booked on system so that sales orders can be released for delivery
  • Cross checking Shipping Schedule against system Due In Report to ensure that system dates and shipping schedule dates match, and investigate any anomalies
  • To pulling off analysis reports from bespoke RMA system to check product faults, analysing results and raising debit claims to suppliers
  • Sending Product and Packaging Specifications to suppliers to ensure that correct production information is recorded in our system and shared with key customers where appropriate
  • Filing of hard copies of Purchase Order and shipping documentation in purchasing files
  • To assisting with Stock Taking in main warehouse, Wolverhampton warehouse and Showroom (and any other locations as required) and investigation of anomalies
  • To maintaining database of material Test Certificates to ensure compliance and regular testing of fabrics in the UK


Reports Required:

  • To generating and sending of weekly Stock Report
  • To generating of Rate of Sales by Product Report for MD and Sales Manager
  • To generating of Rate of Sales by Customer Report for MD and Sales Manager
  • To generating of Discontinued Stock Report for MD and Sales Manager
  • To generating Sales Orders Report for MD
  • Any other duties as required by the MD or Partners


Salary - £16,000- £19,000
Job Location - Wolverhampton
Required experience - 1 year
