Essential duties and responsibilities
· Coordinates the creation and production of marketing, packaging and sales supports material, ensuring smooth-running of the production process through liaison with the relevant staff within agencies - with particular responsibility for proofreading and accurate setting of text and branding
· Assists in the creation of marketing communication documents, turning ideas into reality and ensuring deadlines are met and monitor progress of the campaign materials
· Working with internal departments on specific projects channelling information as appropriate i.e. acts as a liaison between Marketers and external agencies (advertising agencies, production teams, PR agencies and Media Planning agency) and ensures project requests are dealt with in a timely and efficient manner
· Manage the co-ordination of meetings and brainstorms ensuring that the teams involved have all appropriate materials to hand. Prepare and issue all relevant paperwork required to monitor the progress of work
· Co-ordinate briefings and copywriting for the agency team and presents for sign-off to the marketers and marketing communications manager. Assists with brief meetings as required
· Co-ordinates presentation of creative work and media plan to the marketers
· Writing copy and co-ordinating proofreading of external and internal communications
· Ensure deadlines are met and budgets managed efficiently
· Negotiates projects and budget with suppliers, making modifications as necessary and arranging for contract signing
· Reviews specification sheets, obtains quotes and prepares purchase orders, and acts as liaison with agencies in such areas as delivering marketing material, scheduling proofs, and meetings
· Co-ordinate PR activity in close liaison with PR agencies in order to meet needs and objectives of the PR program and acts as the first point of contact internally and externally for all Press Relations activity
· Identify and report on competitor press activity and maintain archiving system of all press activity to be used internally and given to external stakeholder functions
· Coordinates advertising schedules and placement in liaison with Media Plan agency
· Co-ordinates organisation of professional meetings and exhibitions including pre-show traffic generation, design, management, technical management, follow up and analysis and communicates necessary details to all staff involved. Participate in major events to help supervise the smooth running of the stand
· Ensure tracking is in place to monitor effectiveness of marketing communications activities and budget and provides feed-back to Marketing Communications Manager
· Tracks, collates, and maintains inventory of graphics and design materials (artwork, photo work, presentations, archive files, and sample files)
· Work closely with the Marketing Communications Assistant to ensure smooth running of the department
Skills
Ideally a graduate
Experience at agency or in marketing/communication
- Strong administrative and organisational skills with great attention to detail
- Demonstrable initiative and enthusiasm, and creative thinking
- Ability to multi-task and work effectively on several active projects at any one time
- Ability to work under pressure and to tight deadlines
- Good communication, interpersonal and team-working skills
- Excellent IT skills preferably in a MAC environment
- A good understanding of print production and proficiency in a range of design software is preferred
