Administrator (Legacy Marketing Team) 

Position: Legacy Marketing Administrator 
Location: London, WC1N 
Job Type: Full Time, Permanent 
Hours: 37.5 hours per week, flexible hours considered

About the Role: 

The Legacy Marketing Administrator will provide high quality administrative support to the Legacy marketing team helping to deliver the charity's successful legacy marketing plans. 

Responsibilities: 

- Data capture information from new Legacy prospects and send personalised fulfilment and stewardship communications 
- Monitor the data imports (through reporting) to ensure the accuracy of files from agencies 
- Work with external partners to deliver the Legacy welcome programme 
- Run standard reports and circulate to key stakeholders 
- Assist with the day-to-day financial management of campaigns and reconciliation of expenditure 
- Book agency briefings, attend meetings capturing minutes where necessary 
- Support with proofing of campaign assets, both print, digital and data 
- Support the Legacy Marketing Manager to ensure the online legacy presence on the charity website and partner sites is updated as required 
- Manage the legacy email inbox through Salesforce (the charity's CRM) and action all enquiries as required 
- Assist with the booking of venue, catering and AV requirements at 5-10 events per year 
- Register guests for events, logging details accurately onto the charity's database Salesforce 
- Book travel and hotels (where necessary) for staff and volunteers and assist with processing expenses 
- Produce Fulfilment house campaign briefs and matrices, acting as point of contact for any queries, proofing or issues 
- Provide lunchtime charity reception cover on a rota basis 

About You: 

- Experience in a marketing or customer services environment providing high quality administrative support 
- Able to organise complex meetings, coordinating all aspects from diary management to on the day coordination 
- Able to take meeting contact reports from meetings clearly and concisely 
- Experience of liaising with staff at all levels in external organisations, particularly to support partnership working 
- Experience of working with MS Office, specifically with advanced skills in Word & Excel 
- Ability to provide high quality proofing 
- Experience of working for or with a children's or health related is desirable 
- Experience within a marketing and / or legacy related environment is desirable 
- Experience of using databases such as Salesforce is desirable
