Job Introduction

We are looking for a Bids Assistant to support the Bids and Contracts Manager, assisting the Firm in winning, retaining and generating profitable business through the creation of high quality, often complex, bids and proposals.  The Bids Assistant will play a very active role within the Bid Team, and the wider Business Development and Marketing team.

Main Responsibilities

It is expected that the Bids Assistant will take direction from the Bids and Contracts Manager and the Bids Executive in performing the following tasks:

  • Sourcing and managing bid opportunities
  • Managing the notification mechanisms ensuring that any relevant opportunities are captured.
  • Discussing with the Bids and Contracts Manager all opportunities received and action where appropriate.

Bid Processes

  • Giving Support all bid processes and activities to include file creation, diary management, minute taking etc, and maintaining various team tools providing information to the wider team when requested.

Bids Support

  • Retrieving relevant supporting bid information including conducting research and communicating findings to the relevant teams. 
  • Supporting presentation teams for interviews including the creation of any presentation materials using InDesign software.

Document management

  • Managing all documentation and communication pertaining to each bid appropriately, working with the Bid Executive as required.
  • Responsible for ensuring policies and giving support information are current and compliant, liaising with other internal departments where necessary.
  • Maintaining of best practice materials ensuring frequent reviews and revisions.
  • Responsible for administering firm wide CVs, liaising with the Knowledge Centre when required.
  • Delivering bid induction and communications to new employees.

Client Relationship Management

  • Developing an in-depth knowledge of Infor (the firm's CRM tool) and ensuring it's maintained in line with bid opportunities.
  • Using Infor to create bespoke reports and bid support materials when required.

Projects

  • Co-ordinating the firm wide Directories process: managing the submissions process in accordance with deadlines and ensuring all supporting information is up to date.
  • Giving Support the Bids and Contracts Manager and Bids Executive on firm wide projects as and when requested.

The Ideal Candidate

Required skills, knowledge and experience

  • Strong academic background with two or more years' experience within a B2B environment.
  • Excellent organisational and administrative skills.
  • Ability to work under pressure to manage multiple deadlines.
  • Excellent spelling, grammar and attention to detail.
  • Ability to confidently communicate both verbally and in writing with all levels of the business.
  • Experience of process management or project management. Experience working within a professional services environment would be advantageous.
  • Ability to take responsibility for delegated work, asking for guidance and support where needed.
  • Self-motivated and ability to work on own initiative.

  • Proactive, focused attitude.
